General Questions
What are the office hours for the Finance Department?
The office is open from 8:00AM to 5:00PM Monday through Friday, except for the following:
- Closed on County holidays
- The Finance Assistant works 8:00Am to 12:00PM.
What is the Fiscal year for Allegan County?
Allegan County operates under a calendar year of January through December.
Accounts Payable
When are claims due?
Claims are processed on a weekly basis. The County’s departments are required to have them approved and turned into the Finance Department by 5:00PM every Friday. Claims are then processed the following week.
When are checks mailed?
Checks are mailed on the Friday or Monday following the claim process.
Who should I contact regarding a late invoice or the status of an invoice?
The Finance Department at (269) 673-0203 or you may contact the Department that was invoiced for the purchase of goods or services.
Why do I need to fill out a W-9 Form?
As a vendor who receives money for goods sold or services rendered, it is required from the Internal Revenue Service (IRS) for the County to keep your Taxpayer Identification Number (TIN#) on file.
Why did I receive a 1099?
The earnings you received from the County throughout the course of the year are considered to be taxable earnings. You should present the 1099 form to your tax preparer when filing your annual income taxes. If you feel you have received a 1099 by error, please contact the Finance Department at (269) 673-0203.

How do I become a registered vendor?
The vendor registration form needs to be completed and submitted to the County’s Purchasing Analyst. Vendor Registration Form

What is a Request for Proposal (RFP)?
A Request for Proposal (RFP) is typically a purchase over $10,000 and includes specifications and a list of minimum requirements. Vendors must submit their proposals in accordance to the requirements listed in the RFP.
Who do I contact if I have questions regarding a particular Request for Proposal (RFP)?
Each RFP will list the assigned contact person along with their contact information. Each RFP will have a timeline for questions to be submitted and the County’s answers. Otherwise, contact the Purchasing Analyst at (269) 686-5350.
